The role:

We are seeking a Senior Department Coordinator to manage the operations of our Capital Markets team in Parramatta.

This pivotal role involves assisting with client communication, marketing material, and providing essential administrative support.

Your primary goal will be to enable the team to effectively generate business, securing work and revenue. Reporting to the Partner, Head of Investment Sales, Western Sydney.

 

Key responsibilities:

  • Draft, review, and prepare correspondence, reports, presentations, and other documentation to required standards.
  • Coordinate marketing campaigns for properties, including advertising design, contractor organisation, updating listings, emailing property information and monitoring budgets.
  • Assist the team in collating market data such as comparable sales, ownership details, and enquiry data.
  • Manage and update CRM and other databases as required.
  • Prepare monthly expense reconciliations, client invoices, and liaise with the Finance Department regarding outstanding invoices.
  • Provide leadership and direction to your direct report, ensuring objectives are achieved and managing onboarding/offboarding processes.
  • Maintain strong relationships with internal teams like Marketing & Communications and external stakeholders, serving as a first-level contact for clients.

 

Who are we looking for?

  • You have at least 5 years of previous experience in a similar administrative role supporting a team and/or senior individual.
  • You have experience as a people manager and delegating work.
  • You demonstrate advanced proficiency in Microsoft packages, particularly Word, Outlook, PowerPoint, and Excel.
  • You have excellent attention to detail and maintain a high level of accuracy at all times.
  • You possess excellent organisational skills and the ability to prioritise effectively to meet deadlines.
  • You are pro-active with a strong use of initiative and can work under minimum direction in a high-pressure environment
