The role:

The Receptionist/Administration Assistant plays a pivotal role in supporting the Administration Manager and the onsite Centre Management team within a retail environment.

This position is responsible for providing comprehensive administrative assistance, including general office support, accounts payable and receivable, and monthly reporting assistance.

You will also manage reception duties, ensuring a high standard of service delivery to various stakeholders.

 

Key responsibilities:

  • Provide comprehensive administrative support to the Administration Manager and Centre Management team, encompassing general office duties, mail management, and timely invoice processing.
  • Manage all reception duties, including meeting and greeting clients, answering calls, and maintaining the cleanliness and presentation of the reception area.
  • Assist with accounts payable and receivable, debtor management, and monthly expense reconciliations, ensuring accurate record-keeping and financial compliance.
  • Monitor administration inboxes and efficiently action customer enquiries, providing superior customer service and presenting the organisation as professional and leading-edge.
  • Control and maintain stock for the office, including stationery, kitchen supplies, and Knight Frank branded materials, ensuring availability and adherence to budget.
  • Build and maintain strong relationships with internal staff, tenants, and contractors, actively contributing to team meetings and sharing ideas.
  • Actively participate in risk management and compliance activities, potentially serving as a Knight Frank representative for Health & Safety, First Aid, or Fire Warden duties.

 

Who are we looking for?

  • A Diploma in Business Administration or an equivalent qualification is preferred.
  • At least 3 years of demonstrable experience in a senior administration role providing support to a team, with experience working within a retail environment being highly desirable.
  • Advanced proficiency in Microsoft Office Suite, including Word, Outlook, PowerPoint, Teams, and strong Excel skills, particularly with Pivot tables.
  • Exceptional customer service skills with the ability to communicate effectively and courteously with diverse internal and external clients at all levels.
  • Excellent organisational and time management skills, with a proven capability to create and implement organised systems, manage workflow, and prioritize to meet deadlines under minimum supervision.
  • A proactive, self-motivated, and flexible approach to work, demonstrating strong initiative and the ability to adapt to a changing environment.
  • Superior attention to detail and a high standard of presentation in all tasks, coupled with excellent verbal and written communication skills and advanced spelling and grammar.
