CSIRO’s Agriculture and Food Business Unit has an exciting Administration Officer opportunity to provide administrative services to support the effective provision of research and development activities supporting the Food program Research Director. You will be part of the Team Food and contributing to a great workplace that delivers innovation in food.

 

As the Administration Officer, you will develop, implement, and administer policies, systems, and procedures that assist the organisation and the business unit in achieving their objectives and meeting government and regulatory responsibilities.

 

You will be based at Werribee site (VIC) and form part of and work with the Agriculture and Food Business Unit’s Administration Officer team supporting programs and operations to ensure the smooth and effective running of the Business Unit.

Your duties will include:

  • Providing practical support to the Research Director in dealing with issues and interactions with key stakeholders and external parties.
  • Ensuring prioritised issues for the Research Director’s attention are effectively managed in a timely manner.
  • Preparing and reviewing correspondence and reports that deal with routine matters, including A&F newsletter input. 
  • Preparing meeting agendas, minutes and initiating follow‐up action.
  • Managing or contributing to administrative projects or issues as necessary (e.g. Mission programs or Impact related activities) 
  • Assisting with or coordinating domestic and international travel arrangements for the Research Director.
  • Developing and maintaining functional networks to facilitate effective A&F operations at the Werribee site.
  • Support the research director with site activities and committees (e.g., HSE).
  • Communicate openly, effectively, and respectfully with all staff, clients and suppliers in the interests of good business practice, collaboration and enhancement of the site’s culture.
  • Work collaboratively to carry out tasks in support of the site.
  • Adhere to the spirit and practice of CSIRO’s Code of Conduct, Health, Safety and Environment procedures and policy, Diversity initiatives and Making Safety Personal goals.

 

Location:      Werribee, VIC

Salary:           AU$68,148 to AU$86,733 pa (pro-rata for part-time) + up to 15.4% superannuation

To be considered you will need:

Essential

Under CSIRO policy only those who meet all essential criteria can be appointed.

  • Demonstrated extensive experience in providing secretarial or administrative support to a line manager and/or team in a fast paced and complex environment.
  • Demonstrated ability to clearly convey information, ideas and establish effective interpersonal relationships with a wide variety of people.
  • Strong organisational skills with the ability to prioritise demands and escalate issues when required.
  • Ability to work with minimal direction, show initiative and adaptability and the ability to professionally handle sensitive and confidential information, using appropriate judgment and discretion.
  • Ability to quickly adapt to technological, structural and procedural changes and maintain professionalism and flexibility.

 

Desirable

  • Demonstrated proficiency in Microsoft applications including Word, Excel, Access, PowerPoint, Outlook, and Project; and in using HP Records, SAP, ePublish and AETM to manage workflow processes and on‐line transactions.
